When a weekday is indicated on the school calendar as a No School/No Student day, the school facilities are not available. This includes, but not limited to: conference days, holidays and holiday vacation days, In-service days.
Early release days are considered student/school days, however the use of the facilities would not necessarily begin earlier than indicted on the facilities use agreement.
Facility use would be cancelled if the school closes due to weather or building equipment malfunction. Occasionally, we may have to cancel an organization’s event due to a shortage of custodial staff. If this would occur, we will give you as much advance notice as possible.
Please notify the facility you are using of any time changes for your organization’s planned use as originally indicated on your facilities use application. A two day advance notice is preferred.
Organizations are responsible for:
- Returning rooms to the condition they were found.
a) Note: If custodial services are deemed necessary, charges may be assessed.
- Providing all materials needed to conduct the meeting.
- Turning off lights and closing the doors.
DO NOT PROP DOORS OPEN. Event guests that need access to the facility should be greeted by a representative from your organization. Guests should be aware of the entry point. Guests should not roam the grounds, knock on windows, or interrupt school staff or students to gain access.
A designated adult (minimum 21 years of age) supervisor must be provided at all times when using school buildings or facilities. A “Person-In-Charge” or identified adult supervisor must be present at the start of the activity and remain until all members of the group have left the building at the conclusion of the activity.
I agree to abide by all rules and regulations adopted by the school board governing the use of buildings and to see that the same are carried out and obeyed by others. I assume responsibility for and make good any damage done to the building or equipment during the period of rental; and indemnify and to forever save harmless the school board and its officers, agents and employees from any and all claims whatsoever kind, nature, or description arising out of the use of any of the school facilities controlled by the said board pursuant to the foregoing application or any modification thereof.
We are committed to making our partnership a pleasant one. Please be aware that continued noncompliance of the guidelines may result in discontinuation of your facilities use agreement.
